Before you reply
Take a moment before writing. Replying from annoyance almost always makes things worse in front of whoever is reading — and that is not just the review's author, it is any potential customer who passes through afterwards.
The structure that works
- Thank them for taking the time to write, even if the tone was harsh.
- Acknowledge the specific problem they mention, without playing it down.
- Offer a concrete solution or a way to continue the conversation privately.
- Close professionally, without over-justifying.

When NOT to argue in public
Never. Not when the review strikes you as unfair, and not when you are right. A public argument, even one you win, reads worse than the original review to anyone who finds it later.
If the review is clearly fake
If you do not recognise the customer, if the details do not match your business, or if the pattern suggests a coordinated attack, report it from the profile instead of replying. Google checks it against its policies.
